We are hiring an Event Coordinator to support the planning and execution of our events—bringing clarity, care, and flawless execution to every detail.

As Patrician Company expands its event portfolio for 2026, we are building the operational systems that support consistent, flawless execution across every engagement.
This role exists to bring structure, clarity, and follow-through to that system.

The Event Coordinator supports the engine behind our events—ensuring timelines stay on track, vendors are well managed, and clients feel informed and supported at every stage of the process.

This is an opportunity to step into a growing company at a pivotal moment and play a meaningful role in how our events are planned, executed, and experienced.

the role

The Event Coordinator supports the production and execution of client events from the early design phase through event day and beyond. This role is central to how our clients experience Patrician Company: strategic, organized, and nurtured for.

You will help ensure that every moving part is thoughtfully managed so the experience feels stress-free for the client and unforgettable to those attending.

WHAT YOU'LL OWN

  • Prepare and deliver a clear, polished event update to every active client every Monday
  • Coordinate and prepare for bi-monthly client status meetings 
  • Help clients feel informed, supported, and at peace throughout the process


Client CARE & Communication


  • Manage vendors from onboarding through close-out
  • Track proposals, approvals, contracts, payments, and insurance certificates
  • Maintain clean, organized records and documentation


Vendor CARE & Coordination

  • Support the production and execution of up to 24 events in 2026


  • Assist with timelines, run-of-show documents, production schedules, day-of installation, and post-event strike
  • Support on-site execution at client venues, including evenings and weekend

Event Execution

  • Maintain detailed project plans and task lists
  • Anticipate needs and flag potential issues early
  • Update internal SOPs, frameworks, templates and databases

  • Understand all active event priorities, plans, and timelines 
  • Begin supporting Monday client updates and bi-monthly status meetings 
  • Learn Patrician Company standards, systems, and workflows

  • Confidently manage vendor documentation and approvals
  • Support on-site execution with professionalism and calm
  • Proactively identify details that need attention
  • Draft and deliver post-event recap to clients

Requirements:

  • Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive)
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong note-taking and organizational skills
  • Working knowledge of basic project planning and budgeting 
  • Ability to manage multiple deadlines with care and accuracy
  • Willingness to travel, work on-site at client venues as needed


Nice to Have:

  • Experience in events, hospitality, marketing, or production
  • Familiarity with project management tools (Asana, Trello, Monday)
  • Currently uses AI tools (ChatGPT, Canva AI, Repllit, Claud.ai) 
  • Natural interest in design, branding, or experiential marketing
